As the company continued to evolve, we needed an HRM system capable of evolving with it. The objective was not simply to meet our current administrative requirements. We wanted to create an environment that could support how our people learn, contribute and grow as the organisation develops.
Conventional HR software was built for today, not tomorrow
We tested conventional Software as a Service HRM solutions, but they repeatedly fell short of what we needed. Most were designed around the standard requirements shared by almost every organisation, focusing on functions such as employee records and leave requests.
Our requirements went considerably further.
We wanted team members to explore their own development paths, identify and request relevant training, and share useful knowledge with colleagues. We also wanted the system to support a goal and reward structure while creating the foundations for capabilities we may need in the future.
A rigid, ready made platform would force our operating model into a predefined structure. We needed a system that could adapt as quickly as Capacitor Partners does.
When we looked into the solution, we turned to Lovable.
Designing the future before building the system
As with every transformation project, we did not begin with the technology. We began by understanding the organisation.
01 Mapping the current state
We conducted a current state analysis of our existing HR activities, processes and requirements.
This allowed us to document how work was currently being managed, what was missing and where conventional systems created limitations. It also helped us separate immediate administrative needs from the capabilities required to support our future growth.
02 Designing the future state
We then examined where the company was heading and what our people would need as the organisation evolved.
The system was first designed on paper. We defined its structure, workflows, business rules, decision logic and underlying rules engine in detail before any development began.
This ensured that the system would be built around a clear operating model rather than allowing the technology to dictate how our people should work.
03 Turning the design into a working system
Once the design was complete, we incorporated it into Lovable.
Within minutes, the first working prototype began taking shape before our eyes. This allowed us to move immediately from theoretical specifications to something tangible that our team could explore and test.
Instead of waiting for a lengthy development cycle to review our assumptions, we could see the system operating almost immediately and refine it while it was being built.
04 Testing, deployment and continuous improvement
The initial prototype was tested by a small internal group before being deployed to the wider team.
Team members used the system and provided direct feedback on their experience. Their input informed the subsequent iterations and helped us identify which additional features should be prioritised.
Future functionality is now evaluated according to actual demand across the team. When a need is shared by several people and there is sufficient consensus, it can be incorporated into the development roadmap.
The deployed system combines our own business rules with autonomous AI agents that can support users, issue reminders, conduct follow ups and assist with recurring activities.

The complete journey, from the first current state discussion and initial conception to the deployment of the working HRM system, required eight combined hours from everyone involved.

The system can accommodate as many users as we require without introducing the per user subscription model typically associated with conventional HRM platforms.
